1. A contract shall be deemed to have been made between the Royal College of Physicians and Surgeons of Glasgow ("the College") and the booking client ("delegate") when the delegate has confirmed requirements via the College website or event registration form and the College has accepted this booking – a booking confirmation being proof of such acceptance.
2. Bookings do not automatically guarantee confirmation of a place at the event. The College will confirm all bookings in writing. Places cannot be reserved without full payment. All bookings are made on a first-come, first-served basis. The College reserves the right to refuse bookings at its discretion.
3. For cadaveric courses running in the Clinical Anatomy Skills Centre (CASC) and the Macewen Skills Labs the closing date is 4 weeks prior to the event. Late applications are subject to availability. Payment must be received at the time of booking.
4. The College will accept late delegate bookings, subject to availability up to and on the day of the event. The College will try to ensure that late booking information is incorporated into the event administration process; however, this cannot be guaranteed if the booking is made less than 7 days before the event.
5. Bookings made within 7 days of the event must be paid by credit card at the time of booking or by cash on the day of the event.
6. Where invoice is the elected payment method, payment is due upon receipt of an invoice and must be settled prior to the event.
7. If full payment is not made when due, this will be considered a breach of contract by the delegate, and the College will be entitled to reallocate the delegate’s booking. In this instance the College will inform the delegate that their booking has been reallocated.
8. If payment in full has not been made by the date of the event, the College reserves the right to deny the delegate entry.
9. In the event that the delegate is denied entry, the College shall return any monies already paid by the delegate.
10. The College reserves the right to amend or cancel any event. This includes changes to dates, times, speakers, content and the programme.
11. In the unlikely occurrence that the College cancels an event, delegates may be offered to attend an alternative event held by the College, at no additional cost, subject to availability.
12. Alternatively, the College will return any payments received in advance. The College will not, however, refund any other costs incurred as a result of this cancellation.
13. The College must be notified of cancellations in writing, or by email to educationdept@rcpsg.ac.uk
14. Cancellation notices received within 6 weeks or more prior to the date of the event, will be refunded in full.
15. Cancellation notices received between 14 days and 6 weeks prior to the date of the course will be subject to 50% payment.
16. Cancellation notices received within 14 days of the date of the event will be subject to full payment.
17. Cancellation charges do not apply to free events.
18. Delegates may request a booking transfer to another event, or a delegate substitution, in place of a booking cancellation.
19. Delegates requesting a transfer are subject to the conditions 26, 27 and 28.
20. The IMPACT administrator must be notified of cancellations in writing, or by email to educationdept@rcpsg.ac.uk
21. Cancellation notices received within 12 weeks or more prior to the date of the event will be refunded.
22. Cancellation notices received between 28 days and 12 weeks prior to the date of the event will be subject to 50% payment.
23. Cancellation notices received between 14 days and 28 days prior to the date of the event will be subject to 75% payment.
24. Cancellation notices received within 14 days of the date of the event will be subject to full payment.
25. Where payment has not yet been made, an invoice will be raised for 50% of the booking fee to be paid in full.
26. Delegates unable to attend an event may transfer their booking to another College event (subject to availability). Booking transfer requests must be received in writing 14 days prior to the event date to educationdept@rcpsg.ac.uk.
27. Transfer notices received between 14 days and 6 weeks prior to the date of the course will be subject to a transfer fee of 20% of the original fee paid. If a transfer request is received out with the 6 weeks, no transfer fee is applicable. Transfers cannot be made within 14 days prior to the event date, in this case the cancellation policy above will apply.
28. Delegates that do not wish to transfer their booking to another event will be subject to the cancellation policy outlined above.
29. The College will accept substitute delegates to attend the event without charge.
30. No refunds will be provided on failure to attend an event and delegates will be subject to payment in full of the original booking fee.

32. Before booking a place, it is the delegate’s responsibility to ensure, that they have the required equipment, software and sufficient network access to take part in the digital event.
33. All delegates will be provided with an email address for assistance and delegates having problems accessing the event can contact this for standard queries before the event and troubleshooting will be available during the event. It is acknowledged that it may not be possible to solve all issues as these can be based on the participant’s equipment, software and quality of their network access/provision.
34. The College will take precautionary steps to minimise the risk of the event being terminated due to issues or disruptions in service with the event host’s network provision, by assigning each event with an organiser, co-organiser and an ICT support person.
35. Although prior to each live event all equipment and connections for chairs/speakers are tested for sufficient functionality, the College cannot be responsible for equipment, software and network issues affecting the speakers/chairs during the live event. In the event of such issues, the College will reserve the right to make changes to the advertised program. These changes might at times result into an advertised talk being recorded and made available post event.
36. Should the event not be able to go ahead as a result of issues with the host (College or College staff) equipment or network connection, an alternative event will be scheduled or refund will be provided to the delegate.
37. Every reasonable effort will be made to adhere to the event programme as advertised, however, the College reserves the right to make changes to any event, including the dates, times, speakers, content and the programme.
38. The College accepts no contractual liability for any changes made to an event prior to confirmation of the booking.
39. Delegates agree to accept changes made to an event by the College, after confirmation of booking. The College will make every reasonable effort to ensure any changes are appropriate and relevant.
40. Advertisements or promotional materials from third parties may be presented at the event and on the College website. Delegates’ participation in any third party promotion is subject to the terms and conditions associated with that promotion, and the College will not be held responsible for any liable, loss, or damage of any kind incurred as a result.
41. All trademarks, service marks, trade names, slogans, logos, and other indicia of origin that appear at or in connection with the event are the property of the College and/or its affiliates. Delegates may not copy, display or use any of these marks without prior written permission by the relevant owner. The event and/or portions of the event may be protected under patent law as the subject of issued patents and/or pending patent applications.
42. The College does not accept responsibility for accident, injury, or loss suffered while attending an event, unless it is directly due to negligence by the College.
43. The College accepts no responsibility for any loss incurred while using material or information gathered at College events.
44. The copyright of all training material rests with the trainer, speaker or the College and the College will not be held responsible for any infringements as a result of plagiarism, libel, slander or misuse of material.
45. Unless explicitly stated to the contrary, materials presented at College events may not be reproduced, copied, or in any way incorporated into or stored on any website, electronic retrieval system, publication or in any other form.
46. Bookings are issued subject to the rules and regulations of the venue. All such rules and regulations will apply, unless otherwise specified by the venue and, where applicable, the College.
47. The College and venue management reserve the right to refuse admission or to eject delegates in circumstances deemed reasonable (for example, due to concerns regarding health and safety, security, or environmental concerns), and may on occasion conduct security searches to ensure the safety of delegates. Delegates may also be refused entry or ejected from the venue on account of exhibiting anti-social behaviour or declining to be searched. No refunds will be offered to delegates who are refused entry or who are ejected in these circumstances.
48. Neither the College nor the venue operator will be responsible for loss, damage, death or injury incurred, unless (i) the relevant party has breached its legal obligations and (ii) such loss or damage is a direct or reasonable foreseeable result of the breach.
49. Compensation for loss or damage to personal property brought to the venue that occurs within the exclusions above, will be limited to the cost of repair or to replace, taking into consideration wear and tear.
50. If you wish to make a complaint, please notify a member of the College Education team immediately. The Education Team will take responsibility to find a speedy and satisfactory solution. In the event that you are not satisfied with the solution, please put this in writing to educationdept@rcpsg.ac.uk.
51. Delegate details are managed in accordance with the College’s data protection and privacy policy. Events managed by the College on behalf of a third party or affiliate, are subject to delegate information being shared with the third party organisation.
52. Photography, filming and recording may be carried out at the venue from time to time. Delegates consent to being included in photographs, video and/or sound recordings which may be used by the College, without payment, in printed and electronic media, including the College website and social media, for promotion of the College and its activities and may be selected for permanent preservation in the College archives and used for research, publication, education, lectures, broadcasting, public performance, displays and exhibitions.
53. Photography, filming and recording in the Clinical Anatomy Skills Centre (CASC) and Macewen Skills Labs is strictly forbidden unless prior permission is approved in advance in writing by the Licensed Teacher of Anatomy. All photography, filming and recording is subject to the terms and condition of the CASC & Macewen Skills Labs Recording and Retention Policy (copies are available on application).
54. The College will not be held liable for delay in delivery, or failure to deliver due to any cause outside of the College’s reasonable control. In the instance of Force Majeure, delay or failure to deliver will not constitute a breach of contract and the timeframe for delivery by the College will be extended by a reasonable period.
55. These Terms and Conditions shall be governed by and construed in accordance with the laws of Scotland and any disputes shall be subject to the jurisdiction of the courts of Scotland, unless otherwise submitted by the College.
